Who is responsible
Aaliyah Connelly, owner of The ECT Edit, is the proposed contact responsible for the personal information used to manage enquiries and tutoring. Contact aaliyah.connelly@outlook.com with questions about your information. The final business identity and correspondence address will be added before this draft is adopted.
This notice covers the planned website and tutoring administration. Etsy purchases are handled through Etsy, and a visit to LinkedIn is subject to LinkedIn’s own privacy information. Those services are separate destinations, not embedded social feeds on this site.
What information is collected
- Enquiries: the name and email you provide, enquiry type, message and optional year group and availability.
- Tutoring administration: booking correspondence, agreed lesson times, parent/carer contact details, student name and year group, relevant texts or exam board, attendance and limited learning notes needed for the agreed support.
- Payments: information required to identify a payment and maintain invoices or accounting records. The website does not collect card details.
- Website operation: hosting and anti-spam services may process technical data such as IP addresses, browser information and request logs to operate and protect the service.
Information normally comes directly from the person enquiring, the student or their parent/carer. Please do not send medical reports, identity documents, school records or other sensitive information through the enquiry form. If a relevant adjustment needs discussion, we will agree an appropriate way to handle the minimum information needed first.
What information is used for
The proposed uses and legal bases are:
- Arranging and providing agreed tuition: steps requested by an adult before entering a contract, or performance of the contract with that adult, where those bases apply to their information.
- General enquiries and service administration: legitimate interests in responding to requests, keeping necessary records and running a secure service, balanced against the person’s rights.
- A child’s learning information: the proposed basis is legitimate interests in delivering the support arranged by their parent/carer, with particular attention to the child’s interests. A parent’s contract is not treated as the child’s own contract. This assessment must be completed before that processing begins.
- Required accounting or legal records: compliance with applicable legal obligations.
The enquiry form does not enrol anyone in marketing. No optional marketing list, advertising pixels or analytics have been added to the site code. There is no automated decision-making used by The ECT Edit to decide a student’s eligibility or grades; hosting anti-spam tools may filter form submissions. Enquiry data will not be sold.
For students under 18, the proposed process is for a parent/carer to arrange tuition and act as the booking contact. Only information relevant to the learning support should be shared. The draft default is not to record lessons or use AI transcription.
Who helps process the information
The planned website uses Netlify for hosting, form submission handling and anti-spam processing. Form notifications and direct emails go to the Outlook inbox at aaliyah.connelly@outlook.com, so Microsoft also handles email data. Access to the service’s records should be limited to Aaliyah and anyone specifically authorised to help deliver or administer the service.
The eventual video-call platform and any payment or accounting provider must be identified before use and added to the final notice where relevant. Information may also be disclosed where lawfully required, or to handle a genuine safeguarding concern, using only what is necessary.
Providers may process data outside the UK. The actual processing locations, contractual arrangements and applicable transfer safeguards for the selected accounts must be checked and recorded before this notice is adopted. We do not currently claim that all information stays in the UK or that these checks are complete.
The current private ChatGPT-hosted review copy is separate from the planned Netlify deployment. Its enquiry submission is disabled; any direct email is handled through the email services used by the sender and recipient.
Cookies and similar technologies
The site code does not set analytics or advertising cookies and does not include embedded social feeds. Hosting, access and anti-spam services may use technical measures to operate and protect the site. The final Netlify deployment must be checked for the cookies or similar technologies actually used; any optional tracking would need a separate review before it is added.
Proposed retention periods
| Record | Proposed period |
|---|---|
| Enquiry that does not lead to tuition | Up to six months after the last meaningful contact. |
| Lesson notes and routine tuition correspondence | For the tuition period and up to 12 months after the final lesson, then review and delete what is no longer needed. |
| Invoices and financial records | A proposed six years after the relevant financial year ends, subject to confirming the record-keeping duties that actually apply. |
These are draft operating choices, not a claim that every provider automatically deletes data on that schedule. Aaliyah must put deletion arrangements in place for both the form dashboard and email records, and check provider backup and log retention. Relevant records may be kept longer where a specific legal obligation, dispute or safeguarding need requires it, with the reason and review date recorded.
Information that is no longer needed should be securely deleted or anonymised. Records should be protected through access controls, strong account security and appropriate device security; these arrangements must be confirmed before public launch.
Your rights and questions
Depending on the circumstances, you can ask for access to your information, correction of inaccurate details, deletion, restricted use or transfer of certain information. You can object where processing relies on legitimate interests. Where consent is used for a separate activity, you can withdraw it without affecting earlier lawful use. Some rights have conditions or exceptions; we will explain any that apply to a request.
Contact aaliyah.connelly@outlook.com to make a request. We may need to check identity or a parent/carer’s authority before disclosing someone else’s information. Children have their own information rights and requests will be considered with their interests and understanding in mind.
You can also raise a concern with the Information Commissioner’s Office. Contacting The ECT Edit first may help resolve the issue, but does not remove your right to complain.
The final notice will be updated when the actual service, providers or data uses change. Material changes should be brought to the attention of affected customers, rather than silently changing the basis on which their information is handled.
